How to Manually Sync a Quote to ServiceTitan

Updated over a week ago

If you need a quote to show up in ServiceTitan right away, you no longer have to wait for the hourly automatic sync. With Sync Now, you can push quote changes to ServiceTitan on demand — right from the quote's activity feed.

This is especially handy when you've just updated a quote and need the estimate in ServiceTitan to reflect those changes immediately (for example, before a dispatch, a team huddle, or an install).

When to Use Sync Now

Use Sync Now when:

  • You've made changes to a quote and need them reflected in ServiceTitan right away.

  • You can't wait for the standard hourly sync to run.

  • You're troubleshooting a specific quote and want to confirm the latest data is in ServiceTitan.

For everyday use, you don't need to do anything — SetSale syncs quotes automatically in the background.

How to Trigger a Manual Sync

  • Open the quote you want to sync in SetSale.

  • Scroll to the Activity feed on the right side of the quote.

  • Locate the ServiceTitan sync entry.

  • Click the Sync Now button.

The sync will start immediately, and you'll see live status updates as it progresses:

  • Queued — The sync request has been received.

  • Running — SetSale is actively pushing data to ServiceTitan.

  • Complete — The quote has been successfully synced.

Things to Keep in Mind

  • Sync Now only appears on quotes that are linked to a ServiceTitan job. If you don't see the button, check that the quote is properly linked.

  • Only one sync can run at a time per quote. If a sync is already in progress, the button will be disabled until it finishes.

  • When a customer signs a quote, a sync still fires automatically in the background — you don't need to click Sync Now after a signature.

  • The hourly automatic sync still runs as the default. Sync Now is simply an on-demand shortcut for when timing matters.
