Quick answers to the most common questions about customer records in SetSale — what a record holds, how addresses and quotes connect, and what happens when you edit, merge, or import customers.
What information can I keep on a customer record?
Each record holds the customer's name, email, phone number, one or more service addresses, tags, integration links, connected quotes, and activity history. Name is the only required field — email and phone are optional, though adding at least one makes the record much easier to find later.
Can a customer have more than one address?
Yes. Open the record and click Add address for each service location. Add a label like Home or Rental to tell them apart. Each quote connects to one customer and one service address — so a customer with three properties keeps one record with three addresses, not three records.
How do I find a customer?
On the Customers page, search by name, email, phone number, or street address. You can also sort by newest, oldest, recently updated, or name (A–Z / Z–A).
What's the difference between List and Map views?
List shows customer cards with contact and address details. Map plots customers by saved service location — pan or zoom to review any area, and click a marker to see who's there.
Can I create a quote directly from a customer record?
Yes. Click Create quote on the record. SetSale carries the customer and a saved address into the quote form. Use Change customer or Switch address if you need a different selection.
What happens when I edit a customer who already has quotes?
SetSale warns you before you save: contact changes will also appear on the customer's linked quotes. That keeps the quote and the record in sync — just review the notice before saving.
What happens when I merge duplicate customers?
The record where you start the merge is the one SetSale keeps. Quotes, addresses, and custom fields from the selected duplicates move to that retained customer. Before completing the merge, confirm the right record appears under Keep this customer.
Can I import an existing customer list?
Yes. The importer accepts CSV files. Click Import, download the current template, enter your customer data without changing the column headings, and upload the completed CSV. The template guarantees your file has the headings SetSale expects.
What are customer tags for?
Tags are a visual way to group records. Create tags with your own names and colors — Maintenance plan, VIP, Follow up — and apply them from any customer record.
Why does a record say "No integration links"?
The record doesn't currently link back to a connected external system, like your CRM. Everything else on the record works normally — addresses, tags, quotes, and activity. For how CRM connections work, see How SetSale and HouseCall Pro Work Together.
What shows up in customer activity?
Customer-related events — like when a quote was created or accepted — each with a link back to the quote. It's the fastest way to see where a customer stands before you call them.
