Once a quote with Palmetto financing is shared, you can monitor the lease status, handle change orders, and manage installation documentation — all from within SetSale.
Viewing the Palmetto Account
To check the status of a Palmetto lease on any quote:
Open the quote in SetSale.
In the Activity section, look for the Palmetto Account Created entry.
Click View Account to see an overview of the Palmetto lease status.
This view shows you:
Whether the credit application has been submitted
The status of the financing contract (DocuSign)
Whether Palmetto has issued the Notice to Proceed (NTP)
Tip: The activity feed on the quote also logs key milestones — like when the customer signed the DocuSign contract or when the NTP was issued — so you can track progress at a glance without opening the Palmetto account.
Handling Change Orders
If the homeowner wants to make changes to their equipment after the quote has been shared (for example, adding a UV light or upgrading a unit), here's how to handle it:
Reopen the quote in SetSale.
Make the necessary equipment or pricing changes.
Reshare the quote with the homeowner.
When you reshare:
The updated pricing is sent to Palmetto automatically.
The homeowner will receive a new credit application link (if needed) and a new DocuSign contract reflecting the updated terms.
The homeowner must re-sign the financing contract with the new lease terms.
Important: Any changes to the quote require the homeowner to go through the Palmetto signing process again. The previous contract is replaced by the new one.
Installation Documentation Task
After Palmetto issues the Notice to Proceed, a new task will appear on the quote for the quote owner to complete. This task requires you to upload documentation related to the installation, including:
Work order or proof of completed installation
Equipment photos (e.g., nameplate photos of installed units)
Any other documentation Palmetto requires
Load Calculations
Palmetto requires a load calculation for the installation. If you have the SetSale Load Calc feature enabled, your load calc is provided to Palmetto automatically — no extra steps needed.
If you don't have Load Calc enabled, you'll need to upload a PDF of your load calculation as part of the documentation task.
Tip: If you don't currently use SetSale's Load Calc feature, you can sign up for it directly from the documentation task screen.
What Happens If Palmetto Rejects a Document?
If Palmetto determines that a submitted document isn't acceptable (e.g., a blurry photo or unreadable serial number), they'll flag it.
When this happens:
You'll receive an email notification with a link to update the rejected document.
A new task will appear on the quote asking you to re-upload the corrected document.
Click the link to go directly to the Palmetto account and fix the issue.
What If the Homeowner Is Denied?
If Palmetto denies the homeowner's lease application, you'll need to:
Reopen the quote in SetSale.
Remove the Palmetto Comfort Plan and choose a different financing option, or adjust the quote accordingly.
Reshare the updated quote with the homeowner.
