The Customers page keeps contact details, service addresses, quotes, tags, and activity history together in one record.
This article covers everything you can do there: adding and importing customers, managing addresses and tags, quoting straight from a record, merging duplicates, and viewing your customers on a map.
Open the Customer Database
Click Customers in the main navigation.
Import adds or updates customers in bulk from a CSV. New customer adds one at a time.
Switch between List and Map views.
Search by name, email, phone number, or street address — any one of them finds the record.
Sort by newest, oldest, recently updated, or name (A–Z / Z–A).
Click any customer card to open the full record.
Add a Customer
From the Customers page, click New customer.
Enter the customer's name. Email and phone are optional, but add at least one — a record with a real contact method is easier to find and quote against later.
To save a service location now, fill in the address fields: street, city, state, ZIP, and country. Unit is optional.
Click Save.
Customer name and optional contact details.
The customer's first service address.
Save the new record.
Import Customers from a CSV
Moving over an existing customer list? Import it once instead of typing it in.
From the Customers page, click Import.
Click Download template and enter your customer data. Keep the column headings exactly as they are — that's how SetSale knows what goes where.
Save the file as a CSV.
Drag the CSV into the upload area, or click the area to choose the file.
Download the current SetSale template.
Drop your CSV here or click to select it.
⚠️ Heads Up: The importer accepts CSV files only. If your list lives in Excel, use Save As → CSV before uploading.
Review a Customer Record
A customer record is the pre-quote briefing: who they are, where the equipment is going, and what your team has already quoted them.
Create a quote, edit contact details, or open the three-dot menu for more actions.
Email, phone, integration links, tags, and the date the record was created.
Saved addresses — click Add address for additional service locations.
Scroll down for the customer's quotes and activity history.
Saved service addresses.
Every quote connected to this customer.
Customer activity — quote created, quote accepted, and similar events, each linking back to the quote.
Edit Contact Details
Open the customer record and click Edit.
Update the name, email, or phone number.
Click Save.
If the customer has linked quotes, SetSale warns you here — contact changes will appear on those quotes too.
Update the details.
Save the changes.
Add Another Address
One customer, several properties? Keep every service location on the same record. Each quote connects to one customer and one service address.
Open the customer record. In Addresses, click Add address.
Enter the street, city, state, ZIP, and country. Unit is optional.
Add a label like Home or Rental so your team can tell locations apart at a glance.
Click Save.
Enter the complete service address.
Optional label to distinguish this location.
Save the address.
Organize Customers with Tags
Tags give you a visual way to group records — Maintenance plan, VIP, Follow up, whatever fits how your team works.
Open the customer record and click Add tags.
Pick an existing tag, or click Add tag to create one.
Enter a name, pick a color, and click Save.
Give the tag a clear name, like Maintenance plan.
Pick a color, or set a custom one.
Save the tag.
Create a Quote from a Customer Record
Open the customer record and click Create quote.
SetSale carries the customer and a saved address into the quote form — no re-typing.
Need a different selection? Click Change customer or Switch address before building the quote.
The selected customer and the Change customer control.
The selected service address and the Switch address control.
Merge Duplicate Customer Records
Two records for the same homeowner? Merge them instead of picking one and losing the other's history.
Open the record you want to keep.
Open the three-dot menu and click Merge customers.
Confirm the record shown under Keep this customer is the right one — this is the record SetSale retains.
Search for and select the duplicate records to merge in.
Click Merge customers.
The record SetSale keeps.
Search for the duplicates to merge into it.
Complete the merge after reviewing your selections.
Quotes, addresses, and custom fields from the duplicates move to the customer you keep.
View Customers on a Map
Click Map on the Customers page to see your customers by service location — useful for planning routes or spotting where your install base is concentrated. The same search box works here: name, email, phone, or address.
Markers and clusters show saved service locations. Pan or zoom to review another area.
Click a marker to see the customer's name and service address.
Tips
Search with whatever you've got — a street name works just as well as a customer name. Any saved field finds the record.
Merge, don't recreate — if a customer already exists, adding a second record splits their quote history. Merge duplicates the moment you spot them.
Label multi-property customers — address labels like Home and Rental keep your techs from quoting the wrong location.
Hitting a snag — a customer you can't find, a CSV that won't upload, or an empty map? See Troubleshooting the Customer Database.
