Overview
Accurate equipment pricing is the foundation of every reliable proposal in SetSale. Owners can upload new manufacturer pricebooks at any time so the system always reflects current costs, available models, and matchups.
This article walks through how to upload or update a pricebook from start to finish.
💡 Heads up: You'll need Owner permissions to upload or edit pricebooks.
Steps to Update Equipment Pricing
1. Log in to SetSale
Sign in at app.setsale.ai/auth/login.
2. Open the Equipment page
From your dashboard, click Settings in the left navigation menu, then select Equipment.
3. Click Upload Pricebook
On the Equipment page, find the Upload Pricebook button on the right side of the screen and click it. You'll be taken to the Import Pricebook page.
4. Upload your pricebook file
Drag and drop your manufacturer pricebook into the upload area, or click to browse and select the file. SetSale accepts most common formats, including PDFs from your distributor and Excel files. To download a template, click on the Download Template link.
Once the file finishes uploading, click Continue.
Here's a Gif of the process. SetSale will upload any new equipment, and update the price of any equipment already in your system.
5. Review new equipment
SetSale will cross-reference your file against our global equipment database and flag any models that are missing details or need attention. You have three options:
Update the equipment with the missing information
Reach out to the SetSale team for help filling in the gaps
Skip and Continue to move forward without changes
6. Let SetSale sync everything
Behind the scenes, SetSale syncs brand information, product data, AHRI matchups, and pricing to your account. When the sync finishes, click Finish to return to your equipment list.
What Happens After Upload
Your new pricing is live immediately and ready to use on quotes. SetSale will also:
Pull in spec sheets, warranty info, and brochures for any model that matches our database
Compare your uploaded prices against the most current pricing in our system
Display any custom equipment (models not yet in our database) so you can fill in the details manually
Tips
💡 Pro Tip: Re-upload your pricebook whenever your distributor releases new pricing. SetSale will automatically update existing models rather than create duplicates.
💡 Custom equipment? If a model isn't recognized, it'll show up as custom equipment. You can still quote it — just open the item and fill in the missing details.
