This article explains how to upload equipment into SetSale and what to expect during the process. SetSale's AI-driven system makes it easy to get your entire price book into the platform so you can start creating quotes quickly.
Uploading Equipment
To upload your equipment inside of SetSale, navigate to the Equipment menu. From the main dashboard, select Settings on the left-hand navigation menu, then click on Equipment.
Here, you can view all of the equipment that's available in your account. You can edit any piece of equipment in the system by clicking on the equipment and updating the information.
Every Model Number references our master SetSale Database to find the AHRI number, any spec sheets, warranty information, and any brochures or documents. This information is made available to both the Sales tech and the Customer so they have all of the documentation they need.
Upload your file. Click the blue Upload Pricebook button. You can either drag and drop your equipment price book from your distributor (typically a PDF) or download the provided Excel template to add your own model numbers and pricing.

Let the AI work its magic. The SetSale AI will automatically read the document and extract the model numbers, types, and pricing information.
Confirm the import. After the file has loaded, you can review and decide which models to import into the system. SetSale will also cross-reference your uploaded prices with the most updated prices in our database, saving you from manual updates.
After the prices have been uploaded in the system, they can be used in quoting.
Managing Your Equipment
Once uploaded, you can view and manage all of your equipment within the Equipment menu.
Edit Existing Equipment: To update any piece of equipment, simply click on it and edit the information.
Automatic Data Sync: SetSale uses a master database to automatically pull in additional details for each model number, including AHRI numbers, spec sheets, warranty information, and brochures. This information is available to both your sales team and your customers.
Handling Custom Equipment: If you upload a piece of equipment that is not yet in our master database, you can still use it. You will need to select the equipment and manually adjust the details as needed. Our team is constantly working to incorporate more brands to minimize the need for this.
