How to Approve a Quote on Behalf of a Customer

Written by Parker McNally

In SetSale, a quote is approved the moment it's signed. Most of the time the homeowner signs it themselves, but you can also sign on their behalf when they've verbally agreed and you're closing the sale for them. This article walks through how to do that directly from the quote.

Either way, the rule is the same: a quote isn't approved until someone signs it, whether that's the customer or your company on their behalf.

Step-by-Step Instructions

1. Open the Quote

  • Go to the quote you want to approve.

  • Click Present to enter the customer-facing presentation view.

2. Present and Confirm the Selection

  • Walk through the tier options, any upgrades, and financing as you normally would.

  • Confirm the package and any optional add-ons the customer agreed to. The total updates in real time as you toggle items.

3. Proceed to Checkout

  • Once the selection is set, continue to the Checkout page.

  • Review the summary, total price, and any financing details to make sure everything matches what the customer agreed to.

4. Sign on Behalf of the Customer

  • On the signature screen, add the signature to approve the quote.

  • This is the same step the customer would complete on their own device — signing here finalizes the agreement.

5. Confirmation

  • After signing, the quote status automatically updates to Sold in your dashboard.

  • The customer receives a confirmation with their selected package details.

  • If you use a CRM integration (ServiceTitan or Housecall Pro), the signed quote syncs back automatically.

When to Sign on Behalf of a Customer

Signing on behalf is useful when the homeowner has clearly agreed to move forward but can't sign on the spot — for example, over the phone or when you're finalizing the deal for them. Only do this once the customer has confirmed the package and price they want.

💡 Tip: If the homeowner would rather review or sign on their own, click Share from the quote to send it by email or text. They can select a tier, toggle upgrades, and sign from their own device. SetSale tracks when they open the link, so you'll know the right time to follow up.
